This document defines the standard operating procedures for reviewing and moderating profile images and avatars across community platforms.

1. Purpose

This SOP ensures that all profile images and avatars displayed across the community meet content guidelines, protect member safety (especially minors), and maintain a welcoming environment for all members.

2. Scope

This procedure applies to all user-uploaded profile images, avatars, cover photos, and similar visual identity elements across the website and linked community platforms.

3. Acceptable Content Guidelines

3.1 Permitted Content

  • Photos of the member themselves
  • Artwork, illustrations, or fursona art (original or with proper permission)
  • Non-offensive graphics, logos, or abstract images
  • Images that are safe for all ages and suitable for a general audience

3.2 Prohibited Content

Any of the following will result in immediate image removal and potential account action.
  • Nudity, sexually explicit, or suggestive content
  • Gore, extreme violence, or graphic injury
  • Hate symbols, slurs, or discriminatory imagery
  • Images of real minors (photos of children are not permitted as avatars for safety)
  • Copyrighted material used without authorization
  • Images designed to impersonate other members or public figures
  • Flashing or strobing images that could trigger photosensitive conditions
  • Imagery promoting illegal activity or substance abuse

5. Automated vs. Manual Review

  • Automated review: All uploaded images are scanned by content moderation filters for explicit content, nudity, and known prohibited imagery. Images that pass automated review are approved immediately.
  • Manual review: Images flagged by automated systems, reported by members, or from accounts under probation are placed in a manual review queue. A moderator must approve or reject these images.
  • Spot checks: Moderators should perform random spot checks of recently approved avatars weekly to catch items the automated system may have missed.

7. Handling Inappropriate Images

  • Step 1: Remove the image immediately and replace with the default avatar.
  • Step 2: Notify the member via private message explaining why their image was removed and which guideline was violated.
  • Step 3: Log the action in the moderation system with the original image preserved as evidence.
  • Step 4: Apply appropriate disciplinary action based on the severity (warning for first offense, suspension for repeat or severe violations).
  • Step 5: For content involving minors or illegal material, immediately escalate per the Crisis Intervention SOP.

8. Appeal Process

  • Members may appeal an image removal by submitting a request via Contact Us.
  • Appeals are reviewed by a senior moderator or administrator who was not involved in the original decision.
  • The appeal decision is final and will be communicated to the member within 72 hours.
  • Members may upload a new, compliant image at any time regardless of the appeal outcome.

9. Minor Safety Considerations

The safety of minors is the highest priority. Any image content that may endanger a minor must be treated as a critical incident.
  • Real photographs of individuals who appear to be minors are not permitted as profile images for any account.
  • Any avatar content that sexualizes minors (real or illustrated) is strictly prohibited and will result in an immediate permanent ban and report to relevant authorities.
  • Moderators who encounter potential child exploitation material must immediately stop reviewing, preserve the evidence, and escalate to an administrator and law enforcement per the Crisis Intervention SOP.
  • Accounts belonging to verified minors will have their avatars held for manual review before publishing.
